How to Create a Manual Transaction

A manual transaction moves funds between ledgers. Every move needs two sides, and FactorCloud now creates both for you in one step.

Step 1 – Open Manual Transaction

  1. In the left-hand menu, click Ledgers.
  2. The ledger tabs run across the top and overflow into a More menu at the right. Click More, then Manual Transaction.

Step 2 – Create the transaction

Click Create Manual Transaction in the top-right corner, then complete the main entry:

  • Increase or Decrease
  • Ledger Type – the ledger being moved
  • GL Code and Amount
  • Client / Broker, and an Invoice if the move relates to one
  • Notes – not required, but always worth writing

Step 3 – Complete the offsetting entry

Offsetting Entry is ticked by default. Set its Increase or Decrease, Ledger Type, GL Code and Amount to the other side of the move, then click Create.

The two entries are linked: deleting one removes both. You no longer create a second transaction by hand.

Example – refunding a $10 fee to a client

  • Main entry: Increase, Cash Reserve, $10 – puts the money back with the client.
  • Offsetting entry: Decrease, Fees, $10 – takes it out of fees.

Good to know

  • A manual transaction can only be removed on the day it was created.
  • Check the ledgers afterwards to confirm the movement landed as you intended.
