Easily connect your QuickBooks Online account to FactorCloud by following the steps below. This guide will walk you through the setup process and help ensure a smooth connection.
✅ Step 1: Locate the QuickBooks Integration
-
Navigate to Settings > Admin > Integrations.
-
Find the QuickBooks integration.
-
Click Authorize – you may see this either within the Integrations section or at the top of the Journal Setup screen (see image below).
🔐 Step 2: Authorize Your QuickBooks Account
You’ll be redirected to accounts.intuit.com to:
-
Log in with your QuickBooks credentials
-
Grant FactorCloud access to your QuickBooks account
📅 Step 3: Confirm Authorization
After authorization:
-
Return to Settings > Admin > Integrations > Quickbooks Online Setup
-
You should now see the integration shown as Active until a later date when the system will require you to reauthorize due to security reasons.
📘 Step 4: Set Up Internal Ledgers
-
Go to Settings > Admin > Journal Setup
-
Begin adding the internal ledgers
-
For each ledger:
-
Enter the Account Number
-
Use the dropdown menu to assign it to the appropriate QuickBooks account
-
These accounts are pulled directly from your QuickBooks Online account
-
The data from FactorCloud will be pushed to the assigned account in QuickBooks
-
We recommend adding all 9 ledgers to prevent any issues pushing data over in the future. You can also edit or unlink once you've added them as needed by hovering over the ledger.
🚫 Step 5: Avoid Data Gaps
FactorCloud’s integration does not allow gaps in data synchronization.
Before pushing data to QuickBooks for the first time:
