The Documents screen is where paperwork arrives and gets checked before it becomes invoices. Documents can be uploaded directly or emailed in, and each one waits in a review queue until someone accepts it.
Before you start
Documents is tied to the Brightbolt integration. If the menu item is missing, either the integration is not enabled for your factor or your role does not include document access.
The review queue
The tabs are a workflow, left to right:
- All documents – everything.
- Needs review – waiting on a person. This is your working queue.
- Reviewed – accepted and processed.
- Error – failed processing. These need attention; they are not going to clear themselves.
- Rejected – refused, with a reason.
- Email processing log – what arrived by email and what happened to it.
Each row shows the document name, who or what created it, when it arrived, its status, and how many files it contains – a single submission often holds several pages.
Working a document
- Open the Needs review tab.
- Click a document name to open it and see the files.
- Check it against what it claims to be, then accept or reject it. A rejection should carry a reason – it is what the submitter sees.
Uploading directly
Use Upload Documents in the top-right to add paperwork yourself, for example when a client sends something outside the normal channel.
When documents arrive by email
The Email processing log is the first place to look when a client insists they sent something. It shows what was received and how it was handled, which usually settles the question quickly – either it never arrived, or it did and landed in Error.
