GENERAL UPDATES

New: Granular User Permission Controls

Admin users can now grant credit-related permissions on a per-entity basis instead of account-wide. The permissions “Edit Credit Limits” and “Can Bypass Credit Limit” can each be granted to a user for specific Clients, Brokers, Debtors, Client-Debtor relationships, or Broker-Debtor relationships, and “Can Bypass No Buy” can be granted for specific Clients, Brokers, and Debtors. The existing account-wide permissions are unchanged and always override the granular settings — a user with the main permission can perform the action across all entities, and approving credit requests still requires the main permission. In addition, a new audit history shows who added a user or changed a user’s role or permissions and when; these changes are also recorded in the Factor Changelog under a new “Permissions” category.

New: Currency Filter — Ledgers and Accounting Screens

The global currency filter now applies to the Ledgers and Accounting screens. When a currency is selected, the Ledgers screen displays only entries for Clients and Brokers set to that currency, with amounts formatted in the corresponding currency, and the Accounting screen recalculates its aggregated amounts using only the matching ledgers. Exports from both screens respect the selected currency. When creating a manual ledger entry, the currency is set automatically from the selected Client or Broker and is displayed on the blade. Selecting “All” shows all data combined, exactly as before. Currency is determined by each company’s profile and stored using the ISO 4217 standard.

New: Fee Escrow — Accounting Screen and QuickBooks Exports

For factors with the Fee Escrow feature enabled, the new Fee Escrow ledger now appears in the ledger list on the Accounting screen. The ledger shows the fee amounts held in escrow at funding and the amounts recognized as earned fee income when invoices close. Fee Escrow entries are also included in QuickBooks ledger exports with their corresponding GL codes (1021 Fee Escrow and 1022 Earned Fee Escrow). Factors without the feature enabled will not see the ledger, and existing ledgers are unaffected. Fee Escrow is controlled in Settings > System Config > Optional Features.

New: Fee Escrow — Tank Funding Integration

For factors using the Tank funding integration, the advance amount sent to Tank now accounts for the Fee Escrow deduction: Advance Amount = Invoice Amount − Purchase Fee − Fee Escrow − Escrow Hold. The amount received by Tank matches the funding breakdown shown in FactorCloud. Fundings without Fee Escrow are unchanged.

New: Over Advances on Invoice Funding

Over advances can now be attached during invoice funding, supporting both Flat Fee and Amortization over advance types. The Approve for Funding blade includes a searchable multi-select dropdown for choosing which open over advances to apply, with support for partial amounts per over advance — mirroring the existing fuel advance chargeback workflow. For Amortization-type over advances, an info icon displays the payment schedule (payment date, principal, interest, balance, and paid/pending status). Applied amounts are processed interest-first, then principal, generating the corresponding Over Advance Fee and Paid Over Advance ledger entries. A new optional setting, “Over Advance Auto Attach,” automatically pre-selects a client’s open over advances when the funding blade opens; when disabled, over advances are added manually. This can be enabled by going to Settings > System Config > Optional Features.

New: QP Fee Details on the Approval Screen

The QP Fee section of the Approve for Funding blade now displays the Vendor QP Fee and Factor QP Fee, making it clear how each fee contributes to the advance amount shown at the bottom of the blade.

New: UCC Signed Date

Client and Broker company profiles now include a “UCC Signed Date” field in the Identity section for recording the date a UCC was signed. The field is informational only and does not affect processing.

New: Applied Payments in the Invoice API

For API users: the appliedPayments array returned by GET /invoices/{id} now includes payments from all sources — Payments, Chargebacks, and Write Offs — where previously chargeback and write-off activity was not fully represented. Each entry now includes the payment reference, applied amount, chargeback amount, write-off amount, transaction type, and isChargeback/isWriteOff flags. When a payment closes an invoice short (applied as FULL for less than the balance), the shortfall is reported as a chargeback amount on that entry. Two new fields were also added at the root of the invoice response: hasChargeback (true if any chargeback has been applied to the invoice) and chargebackAmount (the total of all chargebacks applied, across manual chargebacks, short-paid closures, and funding chargebacks).

New: Credit Request API Documentation

The endpoints that power the Credit Request screens are now documented in the FactorCloud API reference: GET /relationship-requests (Credit Check), GET /debtor-creation-requests (Debtor Request), and GET /internal-credit-requests (Internal Credit Request). Integration partners can now build credit request workflows against these documented endpoints.

Fix: Invoice NOA Removed When Uploading Documents

Resolved an issue where, for factors using invoice-level NOAs, uploading an additional document to a funded invoice silently removed the auto-generated Invoice NOA document from the invoice’s Documents tab — leaving the NOA out of the Combined Documentation and Billing Documentation sent to debtors. The Invoice NOA is now preserved when new documents are uploaded.

Fix: Payment Fee Missing from the Fees Ledger

Resolved an issue where a payment fee was charged to the client but never written to the Fees ledger when the net payment amount of a funding equaled exactly zero (for example, a fully reserve-held funding where the payment fee consumed the entire remainder). This caused the ledger to go out of balance by the fee amount and understated fee income.

Fix: Payment Batch Links in Ledger Tables

Resolved an issue where the Payment Batch column across several ledger tabs (including Fees, Fee Escrow, AR, Accrued Fees, Escrow Reserve, Cash Reserve, Liability, Unapplied, Fuel Advance, and Write Offs) displayed some batch references as plain text instead of a clickable link, depending on the type of entry. Every Payment Batch value is now a link to the batch detail, regardless of entry type.

Fix: Documents Shared Between Invoices

Resolved an issue caused by the system de-duplicating identical files: when the same file was uploaded to multiple invoices, marking it inactive on one invoice inactivated it on all of them, and a file originally uploaded to a client could keep a client-specific document type when attached to an invoice. Every upload is now stored independently, so documents on one record are no longer affected by actions taken on another.

Fix: Detection of Oversized Billing Emails

Added safeguards that detect when a billing email’s attachments (billing documents, NOA, and paperwork) would exceed the maximum message size accepted by the email provider — the cause of some billing emails silently failing to send. These cases are now automatically flagged for our team so they can be identified and addressed proactively.


REPORTS

New: Client Activity Statement

A new Client Activity Statement report is now available in the reporting module, providing a statement-style view of a client’s account activity.

New: Funded Invoices Details Report Updates

Added a Sales Executive filter and an Invoice Due Date column to the Funded Invoices Details Report.

New: Current Aging Report — Past Due and Sales Executive Filters

The Invoices tab of the Current Aging Report now includes a “Past Due” filter, which limits the report to invoices past due based on their due date, and a Sales Executive filter.

New: Collections Report — Aging Filters

Added “Days Aged” and “Days Outstanding” filters to the Collections Report, matching the filters available on the Current Aging Report.

New: Reserve Detail Report — Client Company Code

The client company code is now displayed in both sections of the Reserve Detail Report.

New: Company Details — Delivery Method Column

The Debtor tab of the Company Details report now includes a Delivery Method column, displayed between Phone Number and NOA Email.

New: SS Receipts Report Updates

Added a filter for OOS invoices to the SS Receipts Report, and the Account Type option previously labeled “NULL” is now labeled “Chargebacks.”

New: Commission Partner Report Clean-Up

The Commission Partner Report has been cleaned up and streamlined for consistency and accuracy.

Fix: Current Aging Report — Fuel Advance Amounts

Resolved an issue where the Funded Amount column understated invoices with a converted fuel advance. After a fuel advance converted to an invoice, the report showed only the original fuel advance amount as funded instead of the invoice’s total funded amount, making funded totals appear significantly lower than they actually were.


Performance Improvements

This release also includes significant behind-the-scenes performance improvements: the payments list API responds dramatically faster (over 13x faster in internal benchmarks) by eliminating redundant database queries, which also resolves slowdowns and timeouts experienced by high-volume payment integrations; applying payments to large batches of invoices is significantly faster thanks to batched database lookups and new indexing; and funding-process logging has been improved to make long-running fundings easier to diagnose. Legacy collection fee code has also been retired now that the current logic is fully deployed.

Custom GL Codes

We are working on support for custom GL codes, which will allow factors to define their own GL codes alongside the standard system codes and use them in manual transactions and throughout the ledgers.
