GENERAL UPDATES
New: Excel File Uploads for Invoice Documents
Excel files (.xls and .xlsx) can now be uploaded as invoice documents everywhere documents are attached — the invoice Documents tab, invoice creation and import, and the client portal. Uploaded Excel files display with the correct file type and can be previewed, downloaded, and edited like any other document, can be categorized using the existing document types (Invoice, BOL, etc.), and are included with the outgoing billing email to the debtor. The current file size limit still applies.
New: Create a Debtor Directly from the Invoice Screen
When you create an invoice for a debtor that does not yet exist, or that is not yet linked to the client, the system no longer simply stops you. You are now offered the option to create the new debtor and establish the client-debtor relationship — including credit limits — without leaving the invoice flow. This option is only available to users with permission to create debtors.
New: Expired Credit Warning on Approve for Funding
The Approve for Funding screen now warns you when client or debtor credit has expired for the funding you are reviewing, before you click Approve for Funding rather than after. Every expired limit is identified and all of them display together in the existing warnings section, so you can resolve them or knowingly proceed.
New: Do Not Bill Setting with Relationship-Level Billing Override
Factors now have direct control over which clients and debtors receive invoice billing emails. A “Do Not Bill” toggle has been added to client, broker, and debtor profiles — when it is on, no invoice billing email is sent for that company. A new “Billing Override” toggle on the client-debtor relationship allows that to be overridden for a single pairing: with Billing Override off, the company settings apply and the email is suppressed if either the client or the debtor has Do Not Bill on; with Billing Override on, the company settings are ignored and a relationship-level Do Not Bill toggle appears that alone determines whether the email sends for that client-debtor pair.
This applies to invoice billing emails only — statements and other email types are unaffected. Every change to any of these settings is recorded in the changelog. On the client profile, the “Generate Invoice” section has been renamed “Billing” and moved above Portfolio Interest.
New: Partial Fuel Advance Chargebacks on Fundings
Fuel Advances now carry a balance, displayed on both the Fuel Advance list and the detail screen. When charging back a Fuel Advance — directly, or on a funding through the Approve for Funding blade — the amount is now editable, so you can apply less than the full credit instead of the full amount being applied automatically. The remaining balance stays open and available to charge back on a future funding, and ledger entries post for the amount actually applied rather than the full credit. This applies to all types of Fuel Advances.
Existing fuel advances were updated as part of this release: Pending and Open advances start with a balance equal to their amount, and Closed advances start at zero.
New: Funding Chargeback Visibility on Fuel Advances
The Fuel Advance detail screen now includes a “Funding Chargeback” section showing the amount, the status, and a link to the batch for the advance’s currently active funding chargeback, or an empty-state message when there is none. Several related improvements ship alongside it: the FULL/PART toggle is now enabled for Fuel Advance and Over Advance chargeback items on the Approve for Funding blade, where previously it existed only for invoices; the chargeback dropdown no longer shows stale data after an approval, and the chargeback selection now clears correctly for the next approval; when a direct chargeback is blocked because the advance already has an active funding chargeback, a message now points you to the Funding Chargeback section; validation now reports every fuel advance in the request that is blocked rather than only the first one found; and the Fuel Advance money columns on the list and the Chargebacks Management tab were widened so currency-prefixed amounts are no longer cut off.
New: Batch Recovery Rate on Over Advances
Over Advances can now be paid down as a percentage of the funding batch instead of a flat amount. A new optional “Batch Recovery Rate” field is available on the Over Advance creation blade, the detail page, and the update blade, and can be changed at any time. When the Over Advance is added as a chargeback during approval, the amount applied is the total invoice amount multiplied by the recovery rate, or the Over Advance’s remaining balance — whichever is lower. If no rate is set, behavior is unchanged and the full balance applies.
New: Cash Reserve Release Fee on the Client Profile
A “CR Release Fee” field has been added to the client profile’s fee and terms settings. When a cash reserve release is created for that client, the fee pre-populates from the profile instead of being keyed by hand on every release, so the correct fee is charged consistently. The pre-filled amount can still be overridden on an individual release before submitting, and if the profile field is left blank the release fee field behaves exactly as it does today. Accounting treatment is unchanged — only the default entry. The field is editable by users with permission to edit the client profile, and changes are recorded in the client changelog.
New: Credit Rating and Ineligible Days on the Debtor Profile
“Credit Rating” and “Ineligible Days” are now available at the debtor level, in Details > Credit Info > General Details alongside Default Payment Term. Previously both fields existed only on individual client-debtor relationships, with no debtor-wide value visible on the profile. Both are editable from the debtor edit blade, are recorded in the debtor changelog, and pre-populate the corresponding fields when a new client-debtor relationship is created.
New: Updated Fuel Advance Remittance
The Fuel Advance remittance has been rebuilt to match the updated invoice remittance style and now carries substantially more detail. Both the PDF and the CSV include the full list of fuel advances with the expanded column set.
New: Zero Balance Invoice Filter Now Returns All Invoices
The “Zero Balance Invoice” filter on payments previously returned only zero-balance invoices. It now works as a Yes/No setting: “No” returns only invoices with a balance greater than zero, and “Yes” returns zero-balance and positive-balance invoices together. When the filter is not applied, results match the “No” behavior. The separate invoice balance minimum/maximum filter continues to work alongside it.
Fix: Collections Search by Reference Number
Resolved an issue where the search field on the Collections tab searched invoice numbers only. It now searches reference numbers as well, matching the behavior of the Invoices tab.
Fix: Invoice Group CSV Export Limited to 20 Invoices
Resolved an issue where the CSV export for an invoice group returned only the first 20 invoices, no matter how many invoices the group actually contained. The export now includes every invoice in the group.
Fix: Unbalanced Ledger Entry on Chargebacks Applied to a Funding
Resolved an issue where applying a chargeback to a funding batch posted a one-sided debit to the AR Bank Account ledger. This threw the daily journal out of balance by the chargeback amount and overstated the AR Bank running balance against the actual bank account. The AR Bank Account ledger now reflects only cash actually received, and a chargeback netted out of a funding payout leaves the journal balanced. This corrects transactions going forward; entries posted before this release are not restated.
Fix: Fuel Advances Could Be Attached to Non-Factored Invoices
Resolved an issue where a Fuel Advance could be attached to a non-factored invoice. Fuel Advances can no longer be attached to invoices flagged as non-factored.
Fix: Missing Invoice Documents on Large Funding Batches
Resolved an issue where invoices in a large funding batch could complete funding without their billing documents being generated. Affected invoices had no invoice sheet attached and could not be billed out to the debtor, and attempting to bill them returned an error stating the combined documentation had not been generated. Document generation now completes for every invoice in the batch.
REPORTS
Fix: Sales Commission Report: Duplicate Fee Rows
Resolved an issue where editing and re-saving an invoice that had already been funded — for example to update the invoice number, reference number, or debtor — inserted a brand-new commission row for every fee already tied to that invoice, with no de-duplication. The same fee was then counted multiple times, overstating totals on the Sales Commission report. Editing a funded invoice no longer creates commission rows for fees that already exist; only genuinely new fees produce new rows.
