GENERAL UPDATES
New: Redesigned Invoice and Remittance Documents
The FactorCloud-generated invoice document and the remittance documents have been redesigned with a cleaner, modernized layout that is easier for clients and debtors to read.
New: Custom GL Codes
Factors can now create their own custom GL codes to use alongside the standard system codes. Custom codes are created and managed from the new GL Code Management section — each with its own code (a number with an optional decimal, for example 6004 or 6004.2), name, and description, organized under a parent system GL code and account type. Custom codes can be selected when creating manual transactions and appear throughout the ledgers and accounting exports; names and descriptions stay editable, while a code’s value and account type lock once ledger entries reference it. The descriptions of the standard system GL codes can also be renamed to match your chart of accounts (the code values themselves never change). This can be enabled by going to Settings > System Config > Optional Features.
New: GL Codes for Bank Accounts and Funding
A new Accounts list lets factors assign GL codes to their bank accounts. Inbound payment accounts can be connected to custom GL codes per payment method — two accounts on the same payment rail can post their AR Bank Account ledger entries under different codes — and outbound funding accounts can be connected to custom GL codes for the AP Bank Account (funding) ledger. In addition, the Approve for Funding blade now includes an origin account selection, letting the user choose which of the factor’s accounts each funding will be sent from, per payment method; the selected account is recorded on the funding batch.
New: Additional Fees — Charge/Credit Types and GL Codes
Additional fees on the Approve for Funding blade now support crediting a client, not just charging one: a Charge/Credit toggle has been added to each additional fee line (Charge remains the default, so existing behavior is unchanged). A GL code can also be selected per additional fee — from Purchase Fee (1001), Additional Fee (1009, the default), Early Termination Fee (1019), Expedited Funding Fee (1020), and any custom GL codes — and the selection is saved and carried through to the ledgers, the generated funding documents, and the post-approval screens.
New: Fee Scheduler — Charge/Credit Types and GL Codes
Scheduled fees on the client profile now support the same options: a Fee Type of Charge or Credit (Charge is the default; Credit applies the amount in the client’s favor), and a GL code selection so each scheduled fee is booked to the correct income ledger instead of always posting to the Additional Fee ledger.
New: User Limits — Maximum Invoice Amount
Admins can now set a per-user maximum invoice amount. The limit applies per individual invoice (not a daily or cumulative total): when a user attempts to approve an invoice above their limit, the approval is blocked and a warning is displayed in the approve blade. A temporary bypass can also be set for a user, allowing them to approve above their normal limit; the bypass expires automatically eight hours after it is set. Setting limits and bypasses requires the appropriate permission.
New: Report Scheduler — Automatic Email Delivery
Reports can now be scheduled for automatic email delivery. A new Scheduler section on the Reports screen lets users create, edit, and delete schedules — choosing the target report and its filters, the destination users, and a daily, weekly, or monthly frequency — and shows when each schedule last sent. For reports with a date range, each run covers the previous period in the factor’s time zone: the previous day, the previous week (Monday through Sunday), or the previous month. The first iteration supports the Aging by Debtor, Debtor Concentration, and Settlement reports, with more reports being added over time.
New: Collection Statuses
Factors can now define their own collection statuses — created in factor settings the same way labels are configured, with no predefined list — and apply them to invoices from the Collections screen, so teams can track exactly where each item stands in the collections process.
New: Debtor Collections Agents
Collection agents can now be assigned at the debtor level, not just through client roles. Agents can be added, edited, and removed on the debtor profile, and the Collections screen’s Collection Agent filter now includes debtor-level assignments alongside client-level ones.
New: No Buy Reasons and Notes
When marking a company No Buy, users can now select a reason and add a note. Reasons are managed by the factor in settings, and the selected reason and note are displayed in the company’s Credit Info section and recorded in the changelog. This applies when updating credit info directly and is not part of the credit request flow.
New: Fee Per Invoice at the Client Level
A new optional Fee per Invoice field is available in the Fee section of client and broker profiles. When set, it overrides the Fee per Invoice defined on the term at approval — including an explicit $0.00, which suppresses the term fee — and an info message on the field makes the override behavior clear.
New: Funding Instruction Enhancements
Factors can now keep multiple funding instructions of the same payment type on a client (for example, several ACH accounts). The instruction to use is selected during funding approval across all funding types — invoices (including split, non-factored, and broker fundings), fuel advances, over advances, and reserve releases — and same-day merging now groups by funding instruction rather than payment type alone. One instruction per payment type can be marked as the favorite, which is selected automatically at approval (otherwise the oldest instruction of that type is used). Funding instructions can also be marked active or inactive, preserving historical records instead of deleting and re-entering them, and Money Code funding instructions no longer require a card/account number, since money codes are issued per transaction. Multiple funding instructions of the same type is enabled per factor — contact FactorCloud support to turn it on.
New: Canadian EFT Payment Files
Factors paying Canadian carriers can now generate a native Scotiabank EFT file: EFT is available as a third payment file type alongside NACHA v1 and v2, producing a fixed-width flat file ready to upload to ScotiaConnect with no manual editing. The export supports both CAD and USD clients — disbursements that combine currencies produce one file per currency — files remain available for re-download from the disbursement’s detail screen exactly as submitted to the bank, and a CPA code is required on the funding instruction before the file can be exported.
New: FactorGenie Credit Data
For factors using FactorGenie, debtor credit data from FactorGenie is now pulled into FactorCloud and displayed as a new tab on the Debtor details screen and on the Internal Credit Request screen during credit approval — putting third-party credit information directly in the credit decision workflow. Requires FactorGenie to be enabled for the factor — contact FactorCloud support to set it up.
New: Email Delivery Tracking
Emails sent by the system now surface delivery information — including whether each email was delivered or failed to send — making it easier to confirm that documents and notifications actually reached their recipients.
New: Motus (FMCSA) Identifier Support
With FMCSA’s migration of DOT numbers to the new Motus system, the DOT number field now accepts letters as well as digits. Existing numeric-only DOT numbers remain valid, and the maximum length is unchanged.
New: Debtor Default Payment Term
A new Default Payment Term field is available in the debtor’s Credit Info section and in Factor Defaults. When a client-debtor or broker-debtor relationship is created, the payment term pre-populates from the debtor’s default, so new relationships are not left without payment terms. Editing the field requires debtor write permission.
New: Debtor Verification Email
The debtor profile’s Billing Information section now includes a Verification Email field where one or more verification contact addresses can be stored, with email-format validation. The field is also available in the debtor import template.
New: Debtor Changelog
Debtor profiles now include a changelog. Changes to Billing Information (billing email, NOA email, delivery method, and related fields) and to Debtor Statements (statement email, statements enabled/disabled, statement delivery method) create changelog entries capturing the field changed, the old and new values, and when the change was made.
New: Duplicate Detection on New Debtor Requests
New debtor requests now check for existing debtors: when a request comes in, a warning shows possible duplicates, and the approver can either create the new debtor or connect the request to an existing debtor — preventing duplicate profiles that would split a debtor’s AR, credit limit, and payment history across two records.
New: Client Profile — General Notes
Client profiles now include a General Notes section for recording information that doesn’t belong in purpose-specific fields like Funding Notes. Notes can be added, edited, and cleared, and persist on the profile.
New: Client Team Members on Profile and Dashboard
The client profile and company dashboard now display the client’s Commission Partner, Account Executive, and Sales Executive — previously visible only in the commission association and client role screens.
New: Company Dashboard — Recent Activity Dates
Client and debtor dashboards now show the date of the last invoice purchased and the last payment applied for the company being viewed, computed across all of the company’s invoices.
New: Fuel Advance Enhancements
The Fuel Advance screen now displays totals that reflect the entire filtered result set (across all pages, matching the Invoice screen’s behavior), all pending fuel advances can be approved in a single action instead of one at a time, and the Fuel Advance tab of the Chargeback screen now includes a Client column so each chargeback’s client is visible without opening the record.
New: Rebill — Regenerate the Invoice Document
When rebilling with Regenerate Invoice selected, users can now choose whether the regenerated document is generated for the full Invoice Amount or the current Invoice Balance — useful when the balance has changed, for example after a partial chargeback.
New: Manual Transactions — Multiple Offsetting Lines
Manual transactions can now be offset by more than one entry — for example, moving $50 out of cash reserves as $25 to AR and $25 to fees. The offsetting entries must add up to the main transaction amount, and the client can be selected independently on each offsetting line.
New: Relationships — Open Balance Column
The Relationships screen now includes an Open Balance (AR) column, showing each relationship’s outstanding AR at a glance without opening the debtor ledger or running an aging report.
New: Currency Filter — Invoices Screen
The global currency filter now applies to the Invoices screen: when a currency is selected, only invoices for clients and brokers set to that currency are shown, and selecting All shows all invoices combined, exactly as before.
New: Invoice Document — Client MC Number
For transportation clients with an MC number on file, generated invoice documents now display the MC number directly next to the client’s name so debtors can identify the carrier. When no MC number is on file, nothing extra is displayed.
New: Usability Improvements
Table preferences — column widths, column order, column selection, and records per page — now persist across navigation and page reloads on the Invoice, Payments, and Company tables, and Payments columns can be resized and reordered by dragging, matching the invoice table. Clients and debtors with no invoices no longer appear in the selection list on the Invoice screen, and companies with no reserve releases are likewise hidden on the Reserve Release screen. Ledger tables now display the transaction code as a visible column (also shown on detail screens), so both sides of a transaction can be found by searching for its code.
New: API Enhancements
For API users: a new endpoint returns an invoice’s total fees once it reaches Closed status — the total earned purchase fees plus collection fees — and GET /payments and GET /payments/{paymentId}/invoices now support a “last updated” date-range filter, so integrations can sync only recently changed records instead of pulling everything on every run.
New: Over Payment Credits (Optional)
For factors that enable this option, overpayments and payments against out-of-system (OOS) invoices no longer post straight to the client’s cash reserves: when applying an overpayment or OOS payment, users choose between Cash and Credit. Credits post to AR as positive amounts and display on a new Credits tab of the Chargeback screen, where they can be charged back to move the funds into the client’s cash reserves. Because a released credit cannot be unwound, payments that generated a credit cannot be withdrawn — a warning is shown when applying such a payment, and a clear message explains why withdrawal is blocked. This optional feature is enabled per factor — contact FactorCloud support to turn it on.
Fix: Credit Limit Increase Requests
Resolved a series of issues with credit limit increase requests: requests that only needed approval of an existing limit (with no increase amount) were rejected by validation; requests covering seven or more debtors failed to be created; the confirmation dialog paired an invoice count for the whole funding batch with an amount scoped to a single debtor, making the numbers look inconsistent on debtor-scoped requests; the increase field could auto-populate with the current credit limit for users without permission to modify credit limits, causing unintended requests; and some user roles received a generic “Error updating credit request” message when sending a request.
Fix: Approval with a $0 Credit Limit
Invoice approval is now correctly blocked when a company or relationship has a credit limit of exactly $0, matching the behavior for unapproved credit — while a blank credit limit continues to be treated as unlimited.
Fix: Credit Change Notes Not Saving
Resolved an issue where Credit Change Notes entered on internal credit requests were not being saved.
Fix: Fuel Advance Left Open After Invoice Rejection
Resolved an issue where rejecting an invoice with a linked fuel advance left the advance attached and unavailable. The fuel advance is now unlinked when the invoice is rejected and returns to Open status with full availability — reappearing in the fuel advance dropdown when creating a new invoice and in fuel advance chargebacks.
Fix: Scheduled Fee Status When Funding Is Undone
Resolved an issue where undoing an invoice’s funding correctly reverted scheduled fees of type Fee to Pending, but scheduled fees of type Cash Reserve remained stuck in Approved and were never collected.
Fix: Merged Document Email After Funding
Resolved an issue where the merged document email after funding was not delivered whenever the client had a NOA document uploaded (the remittance email was unaffected). Merged document emails now deliver regardless of the NOA level setting or the state of the client’s NOA document.
Fix: Document Submission Blocked by Auto Line Items
Resolved an issue where submitting a document could fail with an “invoice line item feature disabled” error because automatic line item generation ran even when the invoice line item feature was turned off for the factor.
Fix: Collections Notes Display
Collection notes on an invoice now display as a log, with each note shown as its own entry with the author’s name and date/time, newest first. The notes box now opens blank, and each saved note is added to the top of the log as a separate entry — providing a clear history of who noted what and when, and preventing accidental edits to previous notes.
Fix: Payment Method List on Invoice Creation
Resolved an issue where the preferred payment method list on the Create Invoice blade displayed the client’s funding instructions themselves. The list now shows the client’s available payment methods — drawn from active funding instructions only, alphabetized, and without duplicates.
Fix: Currency Display in Ledgers
Resolved an issue where, with the Currency Symbol display setting enabled and the currency filter turned off, the Ledgers and Accounting screens showed the ISO code (for example, USD) instead of the currency symbol (for example, $).
Fix: Ledger Date Filter
Resolved an issue on the Ledgers screen where clearing the Start Date and then changing the End Date caused the date filter to stop working correctly.
Fix: Missing Balance Total in Ledgers
Resolved an issue introduced in a previous deployment where the Balance total on the left side of the Ledgers screen was not displayed.
Fix: Broker Module — Zero-Funding Invoices Locked
Resolved an issue in the Broker Module where an invoice whose full amount was paid to the vendor (zero net funding) locked the invoice details. Invoice values can now be edited even when the funded amount is zero.
Fix: Collections Export
Resolved an issue where exporting from the Collections screen ignored the filters applied on screen and returned all invoices. Exports now contain only the filtered results, with every filter applied on the screen reflected in the file.
Fix: Aging by Debtor Export
Resolved an issue where Aging by Debtor report exports (both Totals and Details) could silently fail and never arrive by email.
Fix: “Notification Client” Renamed to “Notice of Assignment”
The recently added “Notification Client” flag was causing confusion about its purpose. The section has been renamed to “Notice of Assignment,” and the field has been renamed to “Show Send NOA button.”
REPORTS
New: Revenue Report — Money Code Payment Fees
The Revenue Report now includes a column for GL code 2006 (Payment Fee — Money Code), and the amount is reflected in the Total Revenue column.
New: Buyout Report — Interest Column
The Buyout Report now includes an Interest column, which is also calculated into the buyout amount.
New: Fuel Advance Invoices Report
A new report lists invoices that have a fuel advance linked, with filters for date range (by invoice date or funded date), client, debtor, and invoice status (Pending, Open, or Closed).
New: Closed Invoice Details Report
A new report shows collection fee details for closed invoices.
New: Verification Report — Notes
The Verification Report now includes a Notes column displaying verification notes.
New: Receipts Report — Account Executive Column
Added an Account Executive column to the Receipts Report.
New: Fuel Advance Report — Account Executive Filter
Added an Account Executive filter to the Fuel Advance Report.
New: Active/Inactive Filter Across Reports
An Active/Inactive status filter has been added to every report in the reporting module that did not already have one — including the Funding, Current Aging, Receipts, Reserve, Client Summary, Company Details, Revenue, and Buyout reports, among others.
Performance Improvements
This release also includes behind-the-scenes reliability and maintenance work: the funding and billing email pipeline now logs every failure with structured errors, so emails that previously failed silently can be detected and diagnosed; a transmission loop in the Triumph funding integration, triggered by duplicate invoice numbers within a single batch, was fixed; manual AR and write-off ledger entries no longer cause errors in the Aging by Debtor report; API clean-up removed a duplicated response field, a recurring error in the logs, and a client-debtor validation flaw; and legacy balance-ledger code was retired.
